Acceptable Use Policy

Certquill sends certificate emails on your behalf. Because certificate recipients are almost always one-time, non-opted-in addresses, the rules below exist to keep deliverability high for every customer on the platform, and to keep certificates issued through Certquill meaningful. Violating this policy can result in warnings, suspension, or termination as described in section 4.
1. Only send to people who expect it
- Only issue certificates to people who actually attended, participated in, completed, or otherwise earned what the certificate recognises.
- Do not upload a full registrant or applicant list when only a subset (e.g. attendees, graduates) should receive a certificate.
- Do not send test batches with placeholder or invented recipient data to real email addresses.
2. No purchased, scraped or rented lists
- Never upload a purchased, rented, scraped, or otherwise acquired contact list that recipients didn't knowingly provide to you in connection with the activity being certified.
- Never use Certquill to send anything other than a certificate related to a real activity, achievement or credential — it is not a general-purpose bulk email tool.
3. No misleading or fraudulent credentials
- Do not issue certificates that misrepresent your organisation's accreditation status, imply a government or regulatory endorsement you don't have, or claim a qualification that doesn't exist.
- Do not impersonate another organisation, or issue certificates under a name you're not authorised to use.
- Do not use Certquill to produce fake credentials intended to deceive an employer, institution, or government body about someone's actual qualifications.
- Certificate wording should accurately describe what actually happened (e.g. don't label a participation certificate as a professional certification, or invent hours/scores that weren't earned).
4. Enforcement
We monitor for the signals covered by this policy, including elevated bounce rates, spam complaints, and abuse reports from recipients. Depending on severity:
- Warning — for a first, minor or likely-accidental violation (e.g. one bad email list causing a bounce spike), we'll typically reach out first.
- Suspension — for repeated violations, high spam-complaint rates, or a clear breach of sections 1–3, we may suspend sending capability while we investigate.
- Termination — for serious violations (fraudulent credentials, purchased lists used at scale, repeated abuse after a warning), we may terminate the account without a refund for the current billing period.
We aim to be proportionate: an honest mistake in a CSV upload is treated differently from a deliberate attempt to spam or defraud.
5. Reporting abuse
If you received a certificate you didn't expect, or believe an organisation is misusing Certquill to issue misleading credentials, email support@zentez.io with as much detail as you can (the certificate ID, sender, or a forwarded copy of the email). We review every report.
6. Appeals
If your account is suspended and you believe it was in error, email support@zentez.io with an explanation. We review appeals case by case and will reinstate accounts where a suspension was based on a mistake or a since-corrected issue.
