How to Create Bulk Certificates from an Excel or Google Sheets List

A step-by-step way to turn a spreadsheet of names into individual, personalised certificates — without copy-pasting names one at a time.

If you have ever tried to make more than a handful of certificates by hand, you already know the problem. You open a design tool, type a name, export a file, rename it, and repeat — once per person. It works for five certificates. It becomes a genuine time sink at fifty, and by two hundred it's the kind of task people ask forums for help with. One Adobe Community user described exactly this: they had been manually copy-pasting names and saving roughly 200 individual PDF files one at a time before finally asking how to batch the process.

The underlying task — merge a spreadsheet of names into a template, one certificate per row — is what mail-merge tools were built for, and it's also exactly what a bulk certificate generator like Certquill automates end to end, including the email delivery that a plain mail merge doesn't handle at all. Here's how to do it properly, plus the trade-offs of the manual routes.

1. Prepare your spreadsheet first

Before you touch any tool, get your source data into one clean spreadsheet (Excel, Google Sheets or plain CSV — all work). At minimum you need a column with the recipient's full name. In practice, most issuers also want:

  • Email — so the certificate can be sent automatically instead of distributed manually.
  • Course / event name — if it varies per row (e.g. different workshops), otherwise it can be the same for everyone.
  • Date — completion or issue date, in a consistent format.

Delete blank rows, fix obviously misspelled names now (it's much faster than fixing 200 individual certificates later), and make sure email addresses don't have stray spaces. If you're exporting from a registration form, a webinar platform or an LMS, export only the people who actually attended or completed the thing — not the full registrant list. Sending a certificate to a no-show is both pointless and a good way to generate spam complaints.

2. Pick a design and map your columns

This is the step that traditional mail-merge tools (Word + Excel, or InDesign Data Merge) get partway right and partway wrong. Word's mail merge, for instance, defaults to one document per row, which breaks down the moment your data has more than one row per person — a limitation a Microsoft Q&A user hit directly when trying to merge certificates where each student had a varying number of competencies in the source data. InDesign's Data Merge has its own encoding quirks with Excel files, which is why some users turn to third-party plugins just to get it working reliably.

3. Preview before you commit

Whatever tool you use, look at more than the first row. Names with unusual lengths, accented characters, or very long course titles are the ones that reveal a layout that only looks right for “John Smith.” Certquill's editor shows a live preview as you adjust the design, and the free generator lets you test a single certificate with your real title and issuer name before you commit to a full batch.

4. Issue the batch

Once your design and column mapping look right, issue the batch. 5. Know the alternative routes — and their real limits

If you genuinely don't want a dedicated tool, two free DIY paths exist, both with sharp edges:

  • Word/PowerPoint + Excel mail merge. Free, but no built-in email sending for PowerPoint at all, and Word's merge assumes one row = one document, which breaks for multi-row-per-person data as noted above.
  • Google Slides + Autocrat. A free Sheets add-on that merges spreadsheet rows into a Slides or Docs template and can trigger an email per merge. It works, but users have hit real gaps — including no native support for Slides-based merge templates in some configurations, and no verification layer at all once the certificate leaves your Sheet.

Both routes can produce a batch of PDFs. Neither gives the recipient anything to prove the certificate is genuine six months later, which is the gap a dedicated platform closes.

What to check before you hit send

  1. Every row has a name; email is present wherever you want automatic delivery.
  2. The course/date fields read naturally in your chosen body text — preview at least three different-length names.
  3. Your logo and signature images are clear at a small size (they'll be scaled down in email previews).
  4. You're only issuing to people who actually attended, completed, or earned the certificate.
